I get asked about funnels more than almost anything else. And I mean CONSTANTLY. On coaching calls, in DMs, at events... agents hear the word "funnel" and their eyes kind of glaze over. It sounds like something a tech bro made up to sell software.
But a funnel isn't complicated. I promise. And once you get it, you'll wonder why nobody explained it like this before.
So here it is. No jargon. No fancy diagrams with 47 arrows going in different directions. Just the real version of what a marketing funnel is, why it matters for your real estate business, and how to build one that brings you leads on a predictable schedule.
A Funnel Is Just a Path
That's it. A funnel is the path someone takes from "I've never heard of you" to "You're my agent."
Think about your last closing. That client didn't just appear out of thin air. Something happened first. Maybe they saw your video on Facebook. Maybe a friend mentioned your name. Maybe they Googled "homes for sale in [your city]" and found your website. However it happened, there was a sequence of steps between "who are you?" and "let's write an offer."
That sequence? That's your funnel.
The problem is that most agents don't have a funnel. They have random acts of marketing. A post here, a postcard there, an open house on Sunday, and then they sit and wait for the phone to ring. No system. No predictability. No way to know what's working and what's a waste of time.
And that drives me a little nuts, honestly, because it doesn't have to be that way.
Why Funnels Matter More Now Than Five Years Ago
Here's something that should make you sit up straight. According to NAR's 2025 Profile of Home Buyers and Sellers, 88% of buyers used an agent and FSBO transactions hit a historic low of just 5%. People still want an agent. They NEED an agent. But they're choosier about WHICH agent they pick.
They're Googling you. They're watching your videos. They're reading your reviews before they ever call you. And if your online presence is a ghost town with a blurry headshot from 2014... you're not getting that call.
A funnel makes sure the right people find you, see you repeatedly, and feel like they already know you before they reach out. That's what I call being known before you're needed. It's the backbone of attraction-based marketing and the reason my coaching clients consistently outperform agents who are still grinding through cold calls and door knocking without a brand behind them.
The 4 Stages (In Plain English)
I've seen funnel diagrams with 6, 8, even 12 stages. That's way too many. You don't need a PhD in marketing to get this right. You need four stages.
Stage 1: Awareness (They Find Out You Exist)
Someone sees your Facebook ad. They stumble onto your YouTube video about the local market. A friend shares one of your Instagram posts. They drive past your name on a Little League banner at the park.
Whatever it is, this is the first time they've encountered you. They don't know you. They don't trust you. They probably don't even need an agent right now.
Your job at this stage is simple. Be visible. Be consistent. Show up where your ideal clients are spending time. And this is where Facebook ads become such a big deal, because you can put yourself in front of thousands of local homeowners for a few dollars a day. Layer that with organic video, local event sponsorships, and community content and you're everywhere.
(Quick side note. I was at a grocery store in my market a few years back and a woman tapped me on the shoulder and said "I feel like I know you." We'd never met. She'd seen my videos and my ads so many times I was like a neighbor she'd been waving to for months. THAT is awareness working.)
Stage 2: Interest (They Start Paying Attention)
Now they've seen you a few times. Maybe they watched two or three of your videos. They visited your website. They read a post about market trends.
They're curious. Not ready to hire you, but they're paying attention.
This is where content does the heavy lifting. Market updates, neighborhood guides, buyer tips, seller tips, anything that gives value and positions you as the go-to person in your area. I talk a lot about the Community Market Leader® approach because this is exactly where it kicks in. You're not selling. You're serving. And that distinction matters more than most agents realize.
At this stage you also want to give them a reason to raise their hand. A free home valuation. A buyer's guide. A market report. Something specific enough that they're willing to trade their email for it. That's your landing page doing its job. One page, one offer, one action.
Stage 3: Decision (They're Thinking About Hiring You)
This is where most agents completely fall apart. Someone downloads your guide or requests a home valuation and then... crickets. No follow-up call. No email. Nothing.
Meanwhile that lead is also requesting valuations from two other agents who DID follow up within 5 minutes.
At the decision stage, your system needs to take over. And I mean a SYSTEM, not "I'll call them when I get a chance." Automated email sequences. Text follow-ups. Retargeting ads that keep your face in front of them while they're making up their mind. A personal call as soon as that lead comes in. All of it working together.

Stage 4: Action (They Hire You)
They sign the listing agreement. They commit to working with you as their buyer's agent. This is the conversion. But here's what most agents miss. The funnel doesn't end here.
A past client is actually the TOP of a new funnel. They refer you. They post about you. They become a testimonial on your website. They leave a Google review. If you're doing it right, every closed deal creates new awareness for someone else.
That's why I'm always saying systems create predictability. A good funnel isn't something you build once and walk away from. It's a machine that feeds itself.
What a Real Funnel Looks Like (With Actual Pieces)
Okay, I realize I've been a little abstract. So let me get specific. Here's what a real, working funnel looks like for a listing agent. This is not hypothetical. This is what I teach.
Awareness layer: Facebook video ads targeting homeowners in your area. Instagram Reels showing local market data. YouTube videos answering common seller questions. Community events where people meet you in person.
Interest layer: A landing page offering a free "What's My Home Worth?" report. Sellers enter their address and contact info. They get the report. You get the lead.
Decision layer: An automated email sequence over 14 days with local market data, testimonials, and a personal video from you. A text message within 2 minutes of opt-in. Retargeting ads on Facebook and Instagram reminding them you exist. A phone call from you (or your ISA) within 5 minutes.
Action layer: A listing appointment where you show up and the seller already feels like they know you, trust you, and expect you to be great. That's winning before you arrive.
See how every piece connects? The ad doesn't work without the landing page. The landing page doesn't work without the follow-up. The follow-up doesn't work without the retargeting. And all of it works better when you've also got organic content, community presence, and referral systems running alongside it.
This is what I mean when I say attraction-based marketing. You're not chasing anyone. You're building a system that draws people in and moves them through a path that ends with them choosing you. The Mistakes I See Every Single Week
I coach thousands of agents. And I see the same funnel mistakes over and over, so let me save you some pain.
Mistake 1: No landing page. You run an ad that sends people to your homepage. Your homepage has 43 links, a photo slider, and a search bar. Nobody knows what to do. They leave. Your ad money is gone. Mistake 2: No follow-up system. You get the lead and then "get busy." Listen, I get it. You're showing houses, doing inspections, handling 14 fires at once. But if you're not following up within minutes, not hours, you're losing that lead to whoever does. Speed to lead is not optional.
Mistake 3: You quit too early. A funnel takes time. Your Facebook ad isn't going to produce a $500,000 listing in its first 72 hours. Most agents quit after a week because "it's not working." Give it 30 days minimum. The algorithm needs data. Your audience needs repetition. Trust takes time.
Mistake 4: You treat one channel like the whole funnel. Running Facebook ads is not a funnel. Having a website is not a funnel. Posting on Instagram is not a funnel. Each of those is ONE piece. The funnel is ALL of them connected. And this is something I'm pretty passionate about. Your Facebook ads and your community events and your organic video and your email marketing... they're not competing with each other. They're reinforcing each other. Every channel feeds the others.
You Don't Need to Build Everything at Once
I know this probably feels like a lot. And honestly? It is. But you don't need to build the whole thing in a weekend.
Start with one thing. A landing page with a strong offer. Get that working. Then add a Facebook ad driving traffic to it. Then build out your email follow-up sequence. Then add retargeting.
Layer by layer. Piece by piece. And before you know it, you've got a system that brings in leads while you sleep, nurtures them while you're at your kid's recital, and books appointments while you're eating lunch.
That's the power of a funnel. It works when you're not working.
