No developer. You set it up once and it runs in the background while you're out showing houses or recording content or, I don't know, having dinner with your family for once.
Zapier's real estate automation page has hundreds of pre-built templates for agents. But most agents I coach have never even logged in. They're still copying lead info from Facebook into their CRM by hand. In 2026. That's like faxing a contract when DocuSign exists.
Here's what I want you to understand. Automation isn't about replacing the personal touch. It's about protecting it. When you automate the busywork, you free up time to actually be human. To record that video. To call that past client. To show up at the community event. Automation handles the repetitive tasks so you can focus on the things that build real relationships.
Systems create predictability. No chasing. No forgetting. No hoping.
7 Zapier Workflows You Should Build This Week
I'm giving you seven. Not ten, not twenty. Seven that I've seen make the biggest difference for agents in my programs. You could set all of these up in an afternoon if you're focused. (OK, maybe a long afternoon. Get some coffee.)
1. New Facebook Lead Ad to CRM + Instant Text
Trigger: New lead from Facebook Lead Ad Action: Create contact in your CRM + send SMS via Twilio or your CRM's built-in texting
This is the big one. When someone fills out your Facebook lead form, Zapier pushes that contact into your CRM and fires off a text message within seconds. Not minutes. Not hours. Seconds.
Why does this matter so much? Because speed to lead determines who gets the deal. Most agents I work with were taking 4-6 hours to respond to Facebook leads before setting this up. Some were taking days. By then the prospect has already talked to three other agents.
Set the text to something simple. "Hey [first name], it's [your name]. I saw you were looking at homes in [area]. What's your timeline look like?" That's it. No pitch. No pressure. A human being responding fast.
2. New CRM Contact to Email Nurture Sequence
Trigger: New contact added to CRM (or tagged with specific label) Action: Add contact to your email marketing platform + start drip sequence
Every new lead should automatically enter a nurture sequence. Not a single welcome email. A sequence. Five, eight, twelve emails that deliver value over time and keep you top of mind.
Most agents set up a drip campaign once and then manually add people to it. Which means they forget. Which means leads sit in the CRM getting cold while the agent is busy with active deals.
Zapier kills that gap. Lead comes in, gets tagged, enters the sequence. Done. You don't touch it.
3. Closed Deal to Review Request + Referral Ask
Trigger: Deal status changes to "closed" in CRM Action: Wait 7 days, then send email requesting Google review + referral
This one is sneaky good. Most agents ask for reviews at closing when everyone is busy signing papers and exchanging keys. Nobody's thinking about leaving you a Google review at that moment. They're thinking about where they packed the shower curtain.
Set a Zapier workflow that waits a week after closing, then sends a personalized email asking for a review. Include a direct link to your Google Business Profile. Make it stupid easy. One click.
Then, a few days after that, a second email asking if they know anyone else buying or selling. Your past clients are a goldmine of future business but only if you follow up consistently. And "consistently" means a system, not your memory.
4. New Website Form Submission to CRM + Task Assignment
Trigger: Form submission on your website (via Typeform, Gravity Forms, your website builder) Action: Create CRM contact + create task for you to call within 1 hour
Someone fills out a contact form on your site. That's intent. That's someone raising their hand saying "I want to talk." And on the old way of doing things, that form submission sits in your email inbox between a promotional email from Home Depot and a newsletter you forgot to unsubscribe from.
This workflow grabs the submission, creates the contact in your CRM, and assigns you a task with a deadline. You see it pop up. You call. You're the first agent they talk to. That's how you win.
5. New Listing Alert to Social Media + Email Blast
Trigger: New listing added to your MLS system (or a row added to a Google Sheet where you track listings) Action: Post to Facebook page + send email to buyer list
When you get a new listing, you want to get eyeballs on it fast. This workflow takes the listing info and automatically pushes it out to your social channels and your email list. You can customize the template so it looks right every time.
Now... I want to be clear. This doesn't replace your video content strategy. A Zapier-generated post announcing a new listing is great for speed. But you should still be doing a listing walkthrough video, a neighborhood highlight, a market context post. The automated post gets the word out immediately. Your content fills in the story. They work together.
6. Calendar Booking to Pre-Appointment Package
Trigger: New appointment scheduled in Calendly (or Acuity, or whatever you use) Action: Send pre-appointment email sequence with your authority assets
This is one of my favorites. Someone books a listing appointment or buyer consultation with you. Zapier immediately sends them a pre-appointment package. Your video introduction. A market analysis for their neighborhood. Testimonials from past clients. Maybe your buyer or seller guide.
By the time you walk in the door, they've seen your face, read your credentials, and watched your content. You're not starting from zero. You're known before you're needed.

7. Weekly Spreadsheet to Market Report Email
Trigger: Schedule (every Monday at 8 AM) Action: Pull data from Google Sheet + send formatted email to your farm list
This one takes a little more setup, but it's worth it. Keep a Google Sheet where you update key market stats weekly. Average days on market, median price changes, new listings, pending sales. Zapier can pull that data and send it as a formatted email to your geographic farm every Monday morning.
You become the person in their inbox with the local numbers. Not Zillow. Not Redfin. You. That's how you build authority in a zip code, and it layers on top of your AI-powered tech stack and your video presence and your community events. All of it reinforces the same message: you're the expert here.
The Mistake People Make With Automation
I need to say this because I've watched agents go off the deep end.
Automation is not a replacement for showing up. It's not a reason to stop making videos. It's not permission to hide behind your laptop and never talk to a human being again.
Actually, scratch that. Let me say it differently.
The whole point of automating the busywork is to give you MORE time for the human stuff. More time to record content. More time at community events. More time on the phone with past clients. More time building the relationships that generate referrals for years.
If you automate everything and then use the free time to watch Netflix... you've missed the point. (And honestly, I've seen it happen. Don't be that person.)
The agents in my coaching who win are the ones using automation as a foundation underneath their personal presence. The system handles the repetitive follow-up. The agent handles the conversation, the video, the handshake, the local expertise. That's the combination that makes you the go-to resource in your market.
Getting Started Without Getting Overwhelmed
Don't try to build all seven workflows in one sitting. Here's what I'd do.
This week: Set up workflow #1 (Facebook Lead to CRM + Text). That single workflow will save you more leads than anything else on this list. If you're running ads and not automating the follow-up, you're lighting money on fire.
Next week: Add workflow #2 (CRM to Email Nurture) and workflow #4 (Website Form to CRM + Task). Now your two biggest lead sources are covered.
Week three: Build out workflows #3, #5, #6, and #7. By this point you'll be comfortable in Zapier and these will go faster.
